Records Management
Pioneer has implemented technology and services to manage your business records and make them readily available when needed.
Computerized Bar Code Technology. Our couriers are equipped with scanners and printers that are linked to our software system. Every item for pick up or delivery is scanned, and a "real-time" receipt is printed for your records. This history is stored in our database – ongoing and available for view through our free web-based software.
Accuracy and Traceability. Once Pioneer has your records in our system, each item is tracked through scanning, and the exact location is known when the item is onsite as well as offsite. We can inventory on the carton, file, tape, and document level, and create a database that will best fit your needs. Also, our Forms are available for download to facilitate your records management and tracking.
Web-based Access. From your desktop you can view and search your inventory, place orders with Pioneer, review retention dates, and run reports at no additional charge. Access our RSWeb system to take control of your records today.
Shredding with Certificate of Destruction. A review for destruction date can be entered into your inventory for each item. Once you approve these records for destruction, they will be shredded and a certificate of destruction will be provided. As a part of ongoing confidential documents, locking shred bins can be placed in your offices and the contents shredded when needed.
Local Number, Local Response. No Bureaucracy. You can request services in a variety of ways, whichever accommodates the way you do business. Free web-based software allows you to search your database, and select and order what you need. Phone our helpdesk when you need quick personalized service. E-mails and faxes are accepted as well.
Storage
At Pioneer, your records are safe and secure, and every step has been taken to protect them from disaster.
Security. Our facilities are equipped with 24-hour security monitoring, and limited escorted access ensures confidentiality. Also, we use only our own vehicles for all services provided.
Climate Controlled. Your records are protected from damaging heat and humidity, and systems are in place to prevent or eliminate the threat of fire.
Responsive
24 hours a day, 365 days a year, your records will be available when you need them. Situations may arise when you need your records delivered or removed immediately. Call us and we will dispatch a courier to deliver your records in as little as two hours. Our personnel will deliver and pick up your records with minimal disruption. We can also deliver storage containers beforehand, or onsite packaging services are available.
